Responsibilities

Executive Assistant Job Description

Hazel’s is interested in hiring a Full-Time Executive Assistant (EA) to the President, CEO, and COO.  The EA will report to the CEO.  In addition to handling administrative duties related to Hazel’s operations, the EA will be expected to assist with the CEO’s personal schedule including support for his non-profit work and personal tasks. Hours are 8am to 5pm Monday through Friday with flexibility for rare over-time as required.

 

Position is immediately available.

 

Summary of Key Responsibilities

Responsibilities and essential job functions include, but are not limited to the following:

  • Maintains CEO’s personal and work calendar by setting, monitoring, and confirming appointments; reminding employer of schedules; preparing visitors; developing itineraries.
  • Protects employer's time by screening, researching, and managing correspondence, messages, telephone calls, and visitors; preventing interruptions; resolving issues.
  • Arranges activities and services by identifying and clarifying needs and desires; researching options; making work and personal reservations for dining, travel, lodging, entertainment, rentals, sporting events, couriers, medical service; running errands; shopping for necessities and gifts.
  • Assist CEO and Dallas General Manager with community activities and charitable efforts.
  • Anticipates assistance needed by identifying problems, needs, options, and solutions before being asked.
  • Provides secretarial services by drafting correspondence; transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics; establishing and maintaining files and records; collecting and analyzing information; preparing reports.
  • Maintains employer's privacy by keeping information confidential.
  • Updates job knowledge by participating in educational opportunities; maintaining personal networks.
  • Accomplishes organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Maintains office supplies inventory in collaboration with the Office Manager by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; evaluating new equipment and techniques.
  • Contributes to team effort by accomplishing related results as needed.
  • Handles the installation and management of our Driver Dispatch Software, “Mobiltek”
  • Manages and writes the company quarterly newsletter
  • Compiles information for the Monthly Performance Scorecard
  • Maintains social media websites in collaboration with the CEO
  • Assists CEO  and Dallas General Manager with customer events and giveaways

Summary of Experience and Education

  • College degree preferred
  • High school diploma or GED required
  • Previous experience as an Executive Assistant is required.
  • Knowledge of Microsoft Office is required.
  • Advanced knowledge of Microsoft Outlook is required.
  • Previous experience in phone-based Customer Service is a “plus”

Salary & Benefits

Position is a salaried position and compensation will be competitive with industry norms and will reflect the experience level of the candidate

EA will receive 2 weeks of paid vacation (after 6 months of employment)
